Sometimes, during 1:1 support sessions, we may ask you to share your screen so we can better understand what you’re seeing and help resolve issues more quickly.
Sharing your screen in Microsoft Teams allows others in the meeting to see what you’re working on, such as documents, web pages, or applications.
Follow the steps below to share your screen successfully.
Before you start
Make sure you have joined the meeting in the Microsoft Teams desktop app or web browser
Check that you are not already sharing your screen
Close anything you do not want others to see (emails, messages, sensitive documents)
How to share your screen
Join your Microsoft Teams meeting
You can join via the Teams desktop app or your web browser
Select the “Share” button (top right-hand corner)
In the meeting controls, click Share
This looks like a rectangle with an arrow inside it and is usually found in the top right-hand corner of the meeting window
Choose what you want to share
You will be given a few options:Entire screen – shares everything visible on your screen
Window – shares one specific application
Browser tab – shares a single browser tab (available in some browsers)
👉 Our recommendation:
We advise sharing your Entire screen. This allows you to switch freely between tabs, windows, or applications during the meeting without needing to change your screen-sharing settings.If you only share a window or browser tab and then switch to a different tab or application, other participants will not be able to see the new content unless you stop sharing and select it again.
Confirm the screen, window or tab and share
Click onto the screen/image of what you want to share, and a blue border should appear around it
Click the blue 'share' button in the bottom right hand corner
Confirm you are sharing
A red border or banner will appear around what you are sharing
Other meeting participants will now be able to see your screen
How to stop sharing
Click Stop sharing in the meeting controls
Your screen will immediately stop being visible to others
