Managing your organisation structure within Beam Notes

We have an easy-to-use management interface to give you greater control over your team structures. The “Manage” pages allow you to self-serve common administrative tasks, ensuring you can get the most out of Beam Notes for yourself and your team even quicker.

Understanding Your Dashboard

We’ve refreshed the "Manage" tab in your sidebar with a cleaner, more intuitive layout. While you can still dive into your team's usage analytics, we’ve added a helpful new feature: user emails are now included in CSV exports. This makes it easier than ever to identify and support team members who might need a little extra help getting started.

The New Team View

We’ve given you more control! You can now manage your team structure in real-time, meaning you no longer need to submit a support ticket for routine changes.

With these new self-serve tools, you can:

• Edit Parent Teams: Update primary team details instantly.

• See the Full Picture: Use the new hierarchical view to see sub-teams and their members at a glance.

• Manage Permissions: Grant or revoke manager access for anyone on your team.

• Stay Organised: Drag, drop, or re-categorise teams to match your actual company structure.

New: Nested Team Views

Head over to the Teams tab to see your organisation’s structure in a clear, "top-down" view. This allows you to see how teams sit within one another - for example:

Organisation > Directorate > Department > Team

Visual Example: In the screenshot below, you can see the path from Beam down to Product & Engineering, and finally into specific sub-teams.

When you select a team from your dashboard, you’ll find everything you need organised into four easy-to-use tabs:

• Members: See a full list of everyone currently assigned to the team.

• Managers: View who has administrative oversight. You can now assign new managers directly from this view.

• Sub-teams: Quickly access any teams nested under your current "Parent" team.

• Settings: Update team details, such as the name or visibility status, in seconds.

Quick User Management

Need to make a change to a specific person? Head over to the Users tab. By clicking the three dots (⋮) to the right of any name, you can:

• Edit user details.

• Promote a member to a Manager.

• Disable an account.
