A Template is a set of pre-defined instructions that tells Beam Notes exactly how to summarise and organise your conversations. By using templates, you can ensure your documentation remains consistent, professional, and perfectly tailored to your specific workflow needs.
What do templates control?
Templates give you full control over how your final note is structured and written:
Structure: Defines which headings and sections are included.
Order: Sets the exact sequence in which information appears.
Detail: Determines whether the output is a concise note or a comprehensive deep dive.
Style: Adapts the tone and format (e.g. structured bullet points vs. full conversational prose).
Template Types
Beam Notes offers two primary types of templates:
Bespoke Templates: Custom-built templates designed in collaboration with your organisation. These match your specific internal report formats and ensure mandatory data fields are always captured.
General Summary: A flexible, AI-driven default option. This automatically adapts to your conversation, grouping key themes into a clean, clear summary without rigid formatting constraint.
How to View or Change a Template
You can change the template of an existing Note at any time. Follow these steps to change your template:
Open a Note: Click on the Note you wish to reformat.
Locate the Template Button: Look above the summary text and below the note title. You will see a button labeled Template (positioned next to Recording(s) and + Add Audio).
Open the Menu: Click the grey downward arrow on the right-hand side of the Template button to reveal the dropdown menu.
Search & Select: Scroll through the list or use the built-in search bar to find your desired template.
Apply: Click on the template name. Your Note will automatically rewrite and reformat itself to match the new structure.
đź’ˇ Top Tip: Always select your preferred template before manually typing or adding extra content to the Note. If you make manual edits first and then switch templates, those manual edits may be lost during the automatic rewrite.
Requesting New Templates or Changes
Access to the Template Centre is restricted to managers and service leads via the Manage tab on the left-hand sidebar.
If you ARE a Template Manager:
Navigate to the Manage tab on the left-hand sidebar.
Click the Templates tab at the top of the page to enter the Template Centre.
Submit your request for a new template build or an iteration by following our Template Centre Guide.
If you are NOT a Template Manager:
Requests: Speak with your direct manager about the specific format you need. They will submit the request to our Forward Deployed Engineering (FDE) team.
Feedback: Share any adjustments or iterations you want with your manager. They can submit feedback directly through Notes.

Can I switch between templates?
Yes! You can change templates as often as you like within a note and revert to previous template versions if needed.
How many templates can our organisation have?
There is no limit. You can have as many bespoke templates as your organisation finds useful.
Can I create my own template from scratch?
No. To ensure the highest accuracy and performance, all templates are built by our specialist Forward Deployed Engineering (FDE) team following an official request from your manager.
