Think of a template as a digital layout for your daily paperwork. Instead of giving you a generic transcript from a recorded meeting or multiple uploaded documents, a template takes that raw information and automatically organises it into the exact format you need for your job.
It acts as a helpful framework that instantly shapes your notes into a clean, professional write-up, ensuring everything stays in your team's preferred style and tone.
Examples of Templates
Depending on your team's needs, templates can be built to instantly generate:
- Social work case notes
- Education, Health and Care Plans (EHCP)
- Assessments and intake summaries
- Structured plans
- Supervisions
Where templates are used
Templates work across Beam Notes in two ways:
- Recordings: When you record or upload a meeting, the template shapes the summary that is generated from the transcript, organising the conversation into the sections and headings your team uses.
- Reports: If your organisation has chosen to make the Build function available, templates are also used to produce polished reports from the documents, recordings and existing Beam Notes you upload. The template determines the structure and style of the finished report.
Where do templates come from?
Templates are developed by Beam in partnership with your organisation. Most are carefully built alongside team managers to make sure the output matches the documents your team works with most, right down to the headings, structure and tone.
Alongside these bespoke templates, there is also a bank of core templates available to organisations. For example:
- General Meeting: A one-size-fits-all template suitable for most meetings. It organises your recording under AI-generated headings and provides a general overview.
- Case Note: A structured template designed for recording case work in a consistent, professional format.
Which templates do I have?
Templates can be made available at three levels:
to your whole organisation
to specific team(s)
or to individual user(s) - usually for testing purposes
This means the templates you have may differ from a colleague's, depending on how your organisation has set things up. If you think a template is missing from your account, speak to your team manager or project lead.
Requesting new templates or changes
Templates are designed to evolve with your team's needs. If a template needs updating, or your team would benefit from a new one, there are two routes:
- Template Centre: Organisation admins can request new templates and iterations to existing ones directly within the platform, and team managers can request updates to the templates their teams use. Once a request is submitted, our team may arrange a short call to understand your requirements, and the new template or change is typically ready around two weeks after that conversation.
- Through your organisation: If you do not have access to the Template Centre, speak to your team manager or project lead, who can raise the request with Beam on your behalf.
