At Beam Notes, we value your privacy while helping teams work better together. This guide explains what happens when a user is granted Manager View and how it affects your data.
What is Manager View?
Manager View (sometimes called Manager Access or Analytics) is an advanced feature designed for team leads. It provides insights into how a team is adopting Beam Notes without compromising the privacy of individual conversations.
What can a Manager see?
Managers get access to Usage Insights only. This includes:
- Team Activity: Seeing which team members are actively using the tool.
- Engagement Trends: Understanding overall team usage patterns.
- Inactive User Nudges: If you haven’t created a note in over a week, your manager can send a friendly "nudge" email to see if you need any help getting back into the flow.
What is kept private?
Your notes are your own. * Managers cannot view your note content, summaries, or transcripts.
- Managers cannot listen to your audio recordings.
- Users who have never logged in or created a note remain hidden from these insights to ensure all messaging is relevant.
Frequently Asked Questions
How can I show my manager a specific note? If you want your manager to see a specific Beam Note, you must manually share the unique URL with them.
My manager still can't see my shared note. Why? For a manager to view a note you have explicitly shared, they must have the "Supervise Notes" permission enabled on their specific profile. They will need to contact the Support team directly to enable this. Our team might need additional confirmation from the Project Lead too.
Can my manager see my notes if I am inactive? No. They will only see that you haven't created a note recently. They will never have access to your previous note history unless you share it.
