Whether a Note is removed manually or via automated system policies, Beam handles data deletion with a focus on organisational compliance and security. Below is everything you need to know about how deleted Notes are managed and when they can be recovered.
How Notes are Deleted
Manual Deletion
You can choose to delete a Note at any time if it is no longer required.
Process: Open the Note, click the three dots (⋮) in the top right corner, and select Delete.
Accidental Deletion: If you delete a Note by mistake, you can contact the Beam Support team to request a restoration, provided the Note is still within your company’s active retention window.
Automatic Data Retention Policies
Most organisations implement a data retention policy to meet specific data protection and compliance requirements. This means Notes are automatically and permanently purged from the system once they reach a certain age.
Example: If your organisation’s policy is set to 30 days, your Note will be automatically deleted on the 31st day.
Folders: Please note that moving a Note into a folder does not exempt it from this policy; it will still be deleted once the retention period expires.
Recovery and Monitoring
The ability to recover a deleted Note depends entirely on your organisation’s specific timeframe.
Within the Retention Period: Notes can be recovered by our team.
Outside the Retention Period: Once the timeframe has passed, we are required to fully delete all associated data to maintain privacy standards. At this point, the Note is permanently unrecoverable.
To ensure you don't lose important information unexpectedly, Beam provides a visual heads-up. When a Note is 7–0 days away from its scheduled deletion date, a warning will appear next to the Note title. Use this window to copy or export any essential data.
