There are two ways a Note can be deleted:
- You delete it yourself:
To delete a Note:- Open the Note you wish to delete
- Click on the three dots that are located top right of the screen
- Select 'Delete'
- If you manually delete a Note by mistake, you are able to contact us to get the Note restored, provided you are still within your company's retention period.
- Through the data retention policy: Your organisation has likely set a data retention policy. This means that after a certain period, Notes are automatically and permanently deleted from the system. For example, if this is set at 30 days, your notes will be automatically deleted on the 31st day. This is done to align with your organisation's data protection and compliance requirements.

Can a deleted Note be recovered? Once a Note is deleted, if it is still within your organisation's data retention period, yes it can be recovered. However, if is outside this timeframe, it cannot be recovered. We are required to fully delete all associated data to stay in alignment with the data retention period set by your organisation. This ensures we are following strict data protection and privacy standards.
How do I find out what my retention period is? To find out what your organisation's data retention period is, we recommend checking with your project manager or team manager. You can also contact our Support team for assistance.
Will moving a Note into a folder negate the retention period? No - your Note will still be deleted, even if it's in a folder, if there is a retention period in place.
How will I know if a Note is going to be deleted? When you have 7 -0 days until deletion, this will be shown next to the title of your Note to give you warning to copy over the notes before it's deleted.
