A Template is a set of instructions that tells Beam Notes exactly how to summarise and organise your conversation. It ensures your documentation is consistent, professional, and tailored to your needs.
Templates control:
- Structure: Which headings and sections are included.
- Order: The sequence in which information appears.
- Detail: Whether the output is a concise overview or a deep dive.
- Style: The tone and format (e.g. bullet points vs. full prose).
Template Types
- Bespoke Templates: Custom-built with your organisation to match internal report formats and capture specific mandatory data.
- General Summary: A flexible, AI-driven option that automatically adapts to your conversation, grouping key themes into a clear summary.
How to View or Change Templates
You can change a template at any time within an existing Note.
Note: You cannot change templates on the 'Onboarding' example note provided when you first log in.
- Open a Note: Open the Note you wish to reformat.
- Locate the Template Button: Above the summary and below the title, you will see a button labelled Template (positioned next to Recording(s) and + Add Audio).
3. Open the Menu: Click the grey downward arrow on the right-hand side of the Template button to reveal a dropdown list.
- Search & Select: Scroll through the list or use the search bar to find your desired template.
- Apply: Click the template name. Your Note will automatically re-write itself to match the new format.
Top Tip: Select your preferred template before manually adding any extra content to the Note to avoid losing your manual edits during the re-write.
Requesting New Templates or Changes
Access to the Template Centre is restricted to managers and service leads via the Manage tab on the left-hand side.
If you are NOT a Template Manager:
- Requests: Speak with your manager about the format you need. They will submit the request to our Forward Deployed Engineering (FDE) team.
- Feedback: Share any desired iterations with your manager, who can submit them directly through Notes.
- Support: If you aren’t sure who your allocated manager is, contact support@beam.org.
If you ARE a Template Manager:
- Navigate to the Manage tab on the left-hand sidebar.
- Select the Templates tab at the top of the page to enter the Template Centre.
- Submit your request for a new build or an iteration by following [this guide].
FAQs
Can I switch between templates? Yes. You can change templates as often as you like and revert to previous versions if needed.
How many templates can we have? As many as your organisation finds useful.
Can I select a template before my meeting? No. Templates can only be applied once a Note has been created from a recording or transcript.
Can I create my own templates? No. To ensure high accuracy, all templates are built by our specialist Forward Deployed Engineering (FDE) team following a request from your manager.
