Beam Notes is a versatile tool designed to capture high-quality recordings for both in person and online professional environments. While recording via a mobile device is often preferred for portability, this guide outlines the professional standards and technical steps for recording directly from your laptop. Recording a Beam Note In person
Note on Hardware: We recommend using a smartphone for in person sessions whenever possible. Laptop microphones are typically directional (optimised for the user sitting directly in front of them) and may pick up keyboard "clatter" if you are taking notes simultaneously.
Step 1: Click Record
Locate the Record button at the top of your dashboard or in the left-hand sidebar.
Step 2: Select In person
Permissions: If your browser asks for microphone access, click Allow.
Step 3: Your recording will now begin. To manage the session, follow the steps below:
- Participant Introduction: To ensure the transcript accurately attributes dialogue, have all participants state their name and role at the start.
- Audio Monitoring: Watch the audio bars on your screen. Active movement indicates the system is successfully capturing sound.
- Positioning: Place the laptop in a central location, open and facing the majority of speakers.
While your recording is in progress, you have the option to Pause or Cancel.
- Pause/Resume: Use this for breaks or "off-the-record" discussions.
- Caution: Selecting Cancel will permanently discard the audio file. This action cannot be undone.
Step 4: Save and Process
Once the meeting concludes, click Save. This triggers the AI to generate your summary and transcript. While Beam Notes features an auto-save function that activates after four hours, manual saving ensures your notes are processed immediately.
Recording a Beam Note Online
Step 1: Click Record
Locate the Record button, found either at the top of your dashboard or within the left-hand sidebar.
Step 2: Select Online
From the recording type menu, select the Online option to optimise the platform for virtual environments.
Step 3: Choose what to share with Beam Notes
When you initiate the recording, a browser permissions window will appear. Complete the following four clicks to ensure full audio capture:
Click 1: Select the Entire Screen tab located at the top of the pop-up box.
Click 2: Click on the thumbnail image of your screen. If you are using multiple monitors, select Screen 1.
Click 3: Enable the Also share system audio toggle located at the bottom-right of the window. Ensure the toggle turns blue.
Click 4: Click the Share button. Beam Notes will now begin recording your meeting.
Important reminder: To avoid "one-sided" transcripts where only your voice is captured, you must select the screen and share your system audio. This allows Beam Notes to hear the other participants through your device.
Step 4: Save your recording
Once your meeting has concluded, you must click the Save button. This action stops the recording and immediately initiates the AI processing to generate your transcript and summary.
