The Template Centre is your central hub for customising and optimising your Beam Notes experience. It allows you to seamlessly request entirely new templates or suggest iterations to existing ones, ensuring the summaries you generate are perfectly tailored to your team’s specific workflows and requirements.
By streamlining the request process, the Template Centre gives you quicker access to the right templates with fewer back-and-forth iterations, helping you save time sooner.
Access Levels: Who Can Do What?
Access to the Template Centre depends on your organisation’s specific setup and your assigned role. There are two primary user roles:
1. Template Centre Managers (Full Access)
Often the Project Manager or designated administrator, users with this role can oversee the entire template library. They have the power to:
Request New Templates: Design and submit brand-new formats from scratch.
Suggest Changes: Propose edits and iterations to any existing templates within their organisation.
2. Team Managers (Partial Access)
Depending on your organisation's configuration, Team Managers may have partial access focused on refining current workflows. They can:
Suggest Changes: Propose edits to the specific templates already used by their team.
Note: Team Managers generally cannot request brand-new templates; their focus is on optimising what is already in use.
Don't see the Template Centre? If you cannot see the Template Centre in your side menu, it may not be enabled for your specific role or organisation yet. Please check with your internal management team.
How It Works: Requesting New Templates & Iterations
The process for submitting a suggestion or request is straightforward and managed entirely in one place.
Step 1: Access the Template Centre
If your role has access, you will see "Templates" listed in your Beam Notes side menu. Click there to view your organisation’s current template library.
Step 2: Choose Your Request Type
To create a brand-new format: Click the "Request New Template" button in the top right corner (available to Template Centre Managers).
To update an existing format: Find the relevant template in your list and click "Request Iteration" next to it.
Step 3: Fill Out the Request Form
Once you click either option, an on-screen form will guide you through the process:
Enter Details: Fill out all relevant details regarding what you want the template to achieve.
Upload Documents (For New Templates): Click Next step to arrive at the file upload screen. Here, you must upload redacted sample forms or documents to show our team what you need (a helpful guide is provided on-screen to assist you with redacting sensitive information).
Provide Contacts: Add the names and contact details of the specific people our team should reach out to regarding this form.
Step 4: Review and Discovery
Submitting the form automatically creates a ticket for the Beam Prompt Engineering team. They will review your submission and reach out to book a discovery call to finalise your template and ensure it is perfectly optimised for your team.
